Administrative Assistant Job Duties

The job of an administrative assistant is clerical in nature but is often associated with functions in administering to the requirements of people in the hierarchy directly under supervision by the executive with which the position is attached. It is often an entry level position assigned to a manager level and if experienced enough, can be assigned as executive administrative assistant to the President or CEO. The nature of the job is basically the same, but the higher the Administrative Assistant the position assigned with, the higher the level of confidentiality of information being handled.

Job Duties

  • Depending on the nature of the office, perform a range of services for customers and clients ranging form front line customer support, taking phone calls, to financial support such as processing payments.
  • Assist the officer or manager in monitoring worker performance versus office standards of productivity and preparing appraisal reports.
  • Process statistical and financial data into meaningful reports for the office.
  • Summarize reports, studies and white papers submitted to the office for operational and tactical decision making.
  • Schedule regular and ad hoc meetings with staff and keep track of their attendance or participation.
  • Generally provide staff clerical support for field or line operations in your area.
  • Ensure that any licensing requirements for workers are complied with.
  • Ensure that office protocols and security requirements are complied with.
  • Ensure the timely submission and processing of regular reports from office staff as required.
  • Perform general office support as may be required by the office manager.
